Ongoing meetings were held with the Regional Extension Center to foster the establishment of HL7 immunization interfaces with KIDSNET (IIS) as well as offer mutual assistance with communication to providers and electronic health record vendors. Eight (8) providers successfully tested and implemented a new or upgraded production interface for electronic transfer via HL7 message for immunization data with the IIS. Work continues with EHR vendors and providers to develop, test, and implement electronic interfaces continues. Participation in all reporting and EHR-Interoperability Conference Calls completed. Preparation of 2.5 implementation Guide is ongoing. A draft Rhode Island HL7 version of 2.5.1 Local Implementation Guide is under review. Updates to the database, parsing and file load processes will be made to support HL7 2.5.1 guide. Continued updates to existing HL7 2.3.1 guide completed as necessary. Continued to market, and distribute applications for mini grants to health care providers for the development of electronic EHR/IIS interfaces. Ongoing efforts to notify practices of project extension through August 31, 2013 with a concerted effort to increase participation in Mini-Grant funding program. A total of Thirty four Mini-Grant applications have been received initial approval. Thirty Two grant applicants have received final approval, and are in possession of their Funding P.O.(This signifies final approval). Pre and Post Benchmarking Data for target provider sites continues to be collected for entry into reporting tool. Process will be ongoing through completion of grant period on 08/31/2012. The Health Department Meaningful Use Coordinator, State HIE Program and Technical staff, and KIDSNET (IIS) staffs have held two meetings in March to develop a plan for the exchange of data between CurrentCare (HIE) and KIDSNET (IIS) with a focus on the use of HITSP C32 - compliant HL7 CCD s. Workgroups to report at meeting scheduled for April 2013. |

Programming Services Officer oversees implementation of project activities, coordinates with provider offices and EHR vendors, supervises Provider Office and EHR Vendor Liaisons, evaluates program, is responsible for ensuring necessary reports/documentation are submitted to CDC, coordinates immunization “Meaningful Use” related activities with other departmental MU initiatives. Director of IT: Maintains, develops, and installs computer systems and equipment, and guarantees those systems ability to communicate with each other. E.H.R. Training & Implementation Specialist: staff training in the use of EHR. Works with office staff to teach best way to use the EHR during the course of the work day. Administrator: Responsible for all parts of practice oversight and management. This includes business operations and medical care operations. E.H.R. Analyst: Responsible for developing EHR capabilities and functions to service Medical Practice's need. Writes computer program and code to enable EHR to function and communicate with other practice applications. Quality Coordinator: Responsibility for Quality control of all parts of Medical Practice including proper data entry of information in EHR, timely and accurate billing of insurance companies and patients. Monitors results of patient care to maintain high level of care. Uses all available information to monitor overall Medical practice performance. Front Office Supervisor: oversees and supports all office functions related to patient care, supervises Medical Secretary, and Medical Assistant, as well as clerical staff. Management of office scheduling, daily work flow, transfer of paper records to EHR process. Medical Assistant: Assists physician in a variety of direct and indirect tasks to ensure effective and productive patient visit. Documentation of medical information, including vital signs, vaccine administration(date, manufacturer and lot number) and patient screenings. Project Manager, Programmers, and Business Analyst to support KIDSNET HL7 Interoperability projects. Physician / M.D/Medical Director.: Role and functions include supervising preparation for KIDSNET immunization interface, review of each existing patient chart prior to updating data to conform to KIDSNET prior to establishment of the interface,(performed at each patient well-visit during work day), assistance with data entry. Lab Manager and Immunization Manager: Role and functions include organizing and reviewing all data for KIDSNET submission, submitting all data to KIDSNET, updating existing charts to correspond to KIDSNET data prior to actual establishment of interface to ensure seamless and errorless records. Medical Assistant/Data Entry /Scanning Specialist:Role includes primarily data review and data entry to EHR for KIDSNET on existing charts in preparation for interface. Billing Coordinator: Generates revenue by making payment arrangements; collecting accounts; monitoring and pursuing delinquent accounts. Maintains work operations by following policies and procedures; reporting compliance issues. Secretary: Responsible for patient scheduling, patient call backs, medical records filing and filing insurance claims. Program Manager is responsible for overall operation and direction of registry (IIS). Develop Program goals and long term plan to accomplish said goals, procures and allots resources to facilitate these activities. Development Manager is responsible for IIS feature development, programming, testing, system compatibility with other department programs and initiatives. Tailors system capabilities to user needs. Provider Relations is public face of registry (IIS), demonstrate and train medical professional end users to access system information. Provide feedback to internal staff related to use of system features, ease of use, user needs. Promotes initiatives to increase awareness of and regular use of registry. |
