The CIP Project started on June 29, 2009 to address capital improvement needs in our health center such as: construction to expand the laboratory, computer center, waiting rooms and patient?s parking, to renovate bathrooms, fire sprinkler system, roofing and upgrade electrical generator and purchase computer and communication equipments. Currently, the laboratory and general waiting areas are small to meet demands of an increasing number of users, resulting in patient discomfort and interrupted patient flow, compromising confidentiality and compliance with HIPAA and quality standards. There are only two cubicles for blood sample collection, resulting in long waiting periods, especially for diabetic, geriatric and disabled patients. The bathrooms constructed 40 years ago are not ADA compliant. By increasing the lab and general waiting area space by 1,125 sq. ft. and 2,402 sq. ft., respectively, and remodeling bathrooms to comply with federal and state regulations, general patient and lab user flow, comfort and satisfaction will be improved, contributing to user retention. By increasing to four (4) the spaces for blood sample collection, waiting periods will be reduced for lab test results, contributing to efficiency and quality of lab services. An additional 68 parking spaces will also be added to increase user access to lab services. The CIP proposed improvements include: 1) adding 1,125.50 sq. ft. to lab waiting area with 40 chairs, adding 100 chairs, for a total of 140; 2) habilitating two more cubicles for blood sample collection in what are now billing and collections offices (to be relocated), doubling current capacity, to use the entire area for lab functions and improving lab patient flow; 3) remodeling of two bathrooms to meet ADA requirements, including widening of door and stall entrances for wheel chairs, installation of handrails, lower ADA compliant toilets and wash basin, light and sound alarm system and other adaptations; 4) habilitation of unused land area of 18,985.31 sq. ft. for 65 parking spaces, 3 for handicap parking, for increased access of lab users; 5) expansion and improvement of the general waiting area from 793.12 sq. ft. to 2,729.24 sq. ft., or an added 1,143.28 sq. ft., and creation of a secondary waiting room of 323.75 sq. ft. for patients passing to Imaging Department procedures (X-ray, sonogram and mammography) to improve general patient flow, and enclosure of the general waiting area with hurricane resistant glass to take advantage of natural lighting, lowering of ceilings to cover air conditioning ducts and installation of energy-saving lighting; 6) relocation and improvement of the Computer Center from the current 323.75 sq. ft. in two small offices to a single area of the same square footage, but with integrated new computer and communications equipment; 7) replacement of outdated and deficient fire protection sprinkler system to meet standards and codes; 8) upgrade of electrical generator from current 500 kw to 1,500 kw to support new space, computer and communications electrical needs; 9) replacement of 2 of the 6 current servers with EHR capacity, current range from 1GB (4), one 4GB and one 2GB, most 12 years in service and communications equipment for connectivity to 3 outposts and 2 mobile units for data management and movement toward HIT readiness.

Quarterly Activities/Project Description In the last quarter the CIP Project is 100% completed. CIP Project was divided in five subprojects: Improvements to the electric, telecommunications and sanitary sewer structure and Improvements to the South East Parking were 100% completed at the end of June 2011. An additional extension of 6 months was requested to complete the remaining percents of the following subprojects: Remodeling and additions to the existing facilities the surgery and laboratory waiting area, the new entrance and hung ceilings and luminaries are already 100% completed. Renovation of information system all the branch repeaters and the installation of the point to point lines were verified succesfully. Kronos application with XenApp servers were installed. Evolution application and ARCA Backups and replications were revised. MAS200 Rollout migration for the accounting department was completed. QS1 Rollout migrated to new virtual server. Access Gateway VPN, configured to secure SSL connection with corporate network. Citrix Branch repeaters were installed and configured. Exchange Rollout; Server was updated. Active sync protocol was configured. Forefront client installation was deployed to all computers on the network to protect from malicious viruses. This subproject is already 100% completed. Telecommunications wiring and security system the fiber optic and security cameras were verified and project final inspection was completed. Results: renovation and expansion of laboratory and surgical waiting rooms increased from 40 to 140 seats; the remodeling of 2 bathrooms to comply with ADA requirements; added 65 parking spaces for patients; the expansion of the Computer Center by 647.5 sq. ft. and upgrading of antiquated computer and communications equipment, and replacement of 2 of 6 current servers with EHR capacity, with range from 2Gb and 4Gb and shipped communication equipment for the connectivity to 3 outposts and 2 mobile units for data management and movement toward to HIT/EHR readiness.
